Fulfillment Settings
Under Settings › Fulfillment, you define the basic fulfillment settings of the Shopgate Omnichannel Suite – from fulfillment methods and handling to documents.
You can find the fulfillment settings in the merchant area under Settings › Fulfillment. The page is divided into the sections Fulfillment Methods, Fulfillment Handling, Documents and Return-in-Store.
The settings for the location search in the storefront are under Settings › Locations on the "Settings" tab. They are described at the end of this article.
Fulfillment Methods
- Fulfillment Methods: Defines the globally available fulfillment methods (Click&Reserve, Click&Collect, Direct Ship). Fulfillment methods can be restricted individually per product or store. Ship-from-Store is shown if it is included in your contract and cannot be changed here.
- Global Product Default Fulfillment Methods: Adds the selected methods to all products that do not have their own specific fulfillment method(s).
- Global Fulfillment Method Product Filter: Hides all products that do not have any of the selected fulfillment methods.
Fulfillment Handling
- Pickup Reminders Enabled / Pickup Reminder Time: Enables and configures the automatic pickup reminder. It is sent to customers by SMS at the configured time (in hours) after an order is received. Important: An active campaign must be set up for this event.
- Automatic Reservation Cancel Enabled / Reservation Cancel Time: The system automatically cancels reservations if customers do not show up within the specified time (in hours). This means less inventory is blocked, and your staff save the time of cancelling reservations manually. The time until which the reservation is available can be included in SMS notifications.
- Automatic Order Pick-up Cancel Enabled / Order Pick-up Cancel Time: The system automatically cancels Click & Collect orders if customers do not show up within the specified time (in hours). This means less inventory is blocked, and your staff save the time of cancelling orders manually. The time until which the order is available can be included in SMS notifications. If the storefront is used, no payment is collected in this case.
- Scheduled Pickup Reminders Enabled / Scheduled Pickup Reminder Time Before Pickup Time: Sends your customers an SMS at a specified time (in minutes) before the pickup window for an order starts. Important: An active campaign must be set up for this event.
- POS Transaction Number Required: Makes the POS transaction number a required field when fulfilling an order. To complete the order, your staff must enter the corresponding receipt number in the app. This allows you to track upselling and similar. You can define the format of the receipt number per location under Settings › Locations in the field "POS Transaction ID Format".
- Check-In Prompt Required: Enables check-in verification for reservations. This prevents staff from viewing a reservation with the status "Ready" without checking the customer in in the app. Check-in is essential for measuring the success of Click & Reserve, because it lets you record additional visitors in the store.
- Enable Location Fulfillment Email Notifications: Sends an email to the email address stored for the store when there are new orders.
- Enable Location Email Notifications for Automatic Cancellations: Sends an email to the location when a reservation expires. The reserved items can then be put back.
- Enable Substitution Preferences: Lets customers actively allow substitute items in the storefront. This can be especially helpful for groceries. For example, if a certain brand of milk is no longer available, another brand can be packed instead. Not supported by the standard Storefront library.
- How can products be picked & packed?: Applies to batch picking
- Scan barcode or mark as picked manually (button shown directly)
- Scan barcode or mark as picked manually (button hidden in more menu)
- Barcode scanning enforced, manual picking not allowed
- Using barcode scanner to pick line items with qty > 1: Applies to batch picking
- Require scanning only once per line item: Scanning the barcode once records the full quantity of an item (with manual confirmation)
- Require scanning for each line item quantity
- Automatic Return Label Creation Enabled: Enable this setting to automatically create a return label whenever a shipping label is created.
- Return Label To-Address:
- Default Return Address
- Store Location
- Store location if order is not split, otherwise default return address
- Mandatory input of actual available stock in case of rejection (Ship-from-Store): Enable this setting so that, when an order is rejected because stock is unavailable, the currently available quantity and the reason for rejection must be entered.
-
How to handle unavailable items during fulfillment? (Ship-from-Store): Define what should happen if an item is unavailable while an order is being picked (for example because it cannot be found or is damaged).
-
Fulfill order partially and reroute unavailable items: Only the unavailable items are rerouted. The available items are shipped from the current location.
-
Reroute complete order: The complete order is assigned to another location, and the user has to put back the items already picked.
-
Allow both (user can choose): The user can choose whether to ship the available items or reroute the entire order.
Info: This setting can be overridden through the permission system.
-
- Batch functionality (Ship-from-Store): Decide whether you want to use batch functionality for Ship-from-Store. If it is enabled, a corresponding button is available in the Workbox to start the batch process.
- Disabled
- Batch printing of picklists: The selected number of orders is set to "In Progress" and all picklists are printed automatically.
- Batch picking: The selected number of orders is grouped into "picking batches" and processed further digitally.
- Restrict Orders to Single Location: Prevents orders from being split across multiple locations. Not supported by the standard Storefront library.
- Enable Fulfillment Scheduling: Enables the pickup window configuration for all locations. Customers must choose an available pickup window. Turning this option on also enables location-based shopping and restricts orders to a single location. Not supported by the standard Storefront library.
- Hide non-available fulfillment windows: Pickup windows in the past and windows that are already taken are no longer shown in the selection. Not supported by the standard Storefront library.
Documents
Define which documents you want to use in your fulfillment process. No print buttons are shown for disabled documents. You can choose from:
- Picklist
- Label (Click&Reserve, Click&Collect)
- Delivery slip (Ship-from-Store)
- Return form (Ship-from-Store)
Return-in-Store
If you use Return-in-Store, you will also find the settings for returns in the store here. They are described in the article Return-in-Store Settings.
Location Settings
Under Settings › Locations on the "Settings" tab, you define how locations are searched and displayed in the storefront. These settings affect the storefront and the Storefront JavaScript used for integration into a shop system.
- Default Location Search Radius: Radius (in the defined unit) within which nearby stores are searched.
- Number of Locations to Display: Maximum number of locations shown in the search.
- Default Location Sort Order: Order of the locations shown in the search ("Nearest Location" or "Highest Inventory").
- Hide Locations Without Inventory: Locations without stock for a specific item are not shown.
- Enable Location Based Shopping: Enables store selection in the storefront. Your customers must select a store when they visit the site. The storefront then only shows products that are available in that store. The store can be changed at any time. Not supported by the standard Storefront library.
- Hide Product Inventory Quantity: Controls whether the exact stock level is shown in the frontend.
